About the job

As a Customer Service Coordinator you will be responsible for managing customer orders and communications, ensuring timely confirmations and proactive engagement. This involves coordinating forecasts, delivery, and planning with internal teams, maintaining customer portals and safety stock, and supporting financial processes such as credit/debit notes and receivables. You will handle complaints, ensures regulatory compliance (e.g. export control) for deliveries, and manages special transport registrations

Kindly take note that this is a 2 year fixed term contract position.


Your responsibilities

  • Create and send order confirmations to customers, ensuring accuracy and timeliness.
  • Build strong operational relationships by proactively informing and engaging with customers.
  • Gather customer forecasts and collaborate with internal stakeholders to enhance forecast accuracy
  • Coordinate with Planning, Sales, and S&OP to forecast and mitigate delivery bottlenecks or issues.
  • Communicate proactively with customers regarding delivery constraints, aligning on corrective measures and coordinating cross-functional responses.
  • Respond to general enquiries related to existing orders.
  • Manage customer safety stock and maintain customer portals (e.g., SupplyOn).
  • Support the Finance team with credit/debit note creation, and assist receivables management by proactively addressing blocked deliveries.
  • Handle complaints and support the internal resolution of customer concerns.
  • Ensure compliance with delivery regulations, including declarations and authorizations.
  • Register deliveries and special transports in customer portals as required.


What you bring

  • Professional Fluency in German and English
  • Within commutable distance to be based in the Velten office
  • At least 3 years of successfully completed vocational training in a specialized occupation such as industrial clerk
  • Company-specific additional qualification or several years of professional experience in a manufacturing environment. 
  • Previous experience in customer service is a plus.
  • Very good written and spoken communication skills at all company levels (internal and external)
  • Good MS Office skills, especially Excel, and experience with the ERP system: preferably M3 or SAP 
  • Organizational talent, ability to work under pressure and a high level of attention to detail
  • Proactive work, even when working to tight deadlines
  • Strong communicator, approachable, analytical and solution-oriented
  • Taking responsibility and striving for customer satisfaction
