WORKING PLACE: TRELLEBORG SEALING SOLUTIONS VIETNAM CO., LTD   

Address: Factory X2, Lot N3, Street N5, N6, Loc An – Binh Son Industrial Park, Long An Commune, Long Thanh District, Dong Nai Province, Vietnam

TASKS AND RESPONSIBILITIES:

Procurement

  • Responsible to source, negotiate and purchase direct and indirect materials from both local and oversea suppliers.
  • Evaluate supplier’s quotation to ensure that they are in line of work specifications required for the scope.
  • Monitor and prepare price comparation file then submit to ERP System
  • Generate Purchase Orders (POs) and send to suppliers.
  • Establish strong relationships with suppliers to ensure quality and timely delivery of goods and services.
  • Negotiate contracts, terms, and pricing to achieve cost efficiency.
  • Monitor supplier performance and resolve any issues related to quality or delivery.
  • Support sourcing project if any.

Import/ Export operations

  • Verify new documents from suppliers, track shipment schedules, update system and reporting files.
  • Monitor and prepare price comparation file then submit to EPRS.
  • Generate Purchase Orders (POs) and send to suppliers/ FWDs.
  • Review customs declarations, prepare documents for import/ export procedures.
  • Prepare documents for supplier payment requests, tax payments, local charges, and permit extensions.
  • Coordinate with FWDs, warehouses, service companies, and operational department to monitor cargo process.
  • Resolve any issues arising during the procedure, notify the ordering department of loses at ports or wear house; support FWDs on explain information and documents to customs and shipping lines.
  • Support FWDs on Monitor and process tax refunds if any.
  • Collect information and documents to determine HS codes.
  • Search for and update information on new documents and regulations, look up HS codes and tax rates.
  • Maintain records.
  • Any requirement from HOD.

Cost Management

  • Verify shipping costs, handling fees
  • Control and explain costs related to Import/ Export procedures.
  • Propose cost optimization for operation.

Transportation and coordination

  • Coordinate vehicles and transportation services for delivery from suppliers to TSS’s warehouse or directly from TSS’s warehouse to customers.
  • Coordinate customs clearance and freight forwarding services.

Updates to related department

  • Notify if any delays during the delivery process.
  • Verify, monitor and inform the related departments of import tax/ export tax rates and policies.
  • Explain any additional costs to accounting.

Collect data and submit Payment request to accountant team.

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Logistic, customs, Import-Export or relevant majors
  • Minimum 3 years of experience in Customs clearance, Logistics, or Import-Export
  • Minimum 2 years of experience within Procurement process
  • Global and local collaboration environment experience
  • Intermediate English proficiency
  • Experience with ERPS / Fourth Shift / SAP (preferred)
  • Self motivating and able to work on own initiative
  • Organized and structured with a good attention to detail
  • Possesses transferable skills
  • Team work skill

  • High attention to detail.
  • Good working knowledge of an ERP System (preferred).
  • Good computer skills.
