About the Role

We are looking for an outstanding and experienced Office Leader to join our team in Adliswil. This role involves coordinating and improving office operations, ensuring compliance with health and safety regulations, and engaging with collaborators and government officials. As an Office Leader, you will provide day to day leadership to the team and represent our company on site. We seek someone proactive with excellent communication and leadership abilities, who excels in a challenging environment.

Key Responsibilities

Leadership and Management

  • Take a leadership role in managing the office, ensuring efficiency and productivity.
  • Provide direct line management for administrative staff, including performance reviews, mentoring, and professional development.
  • Act as the figurehead leader for the site, representing the company in interactions with senior collaborators and government officials.

Office Management

  • Coordinate daily office operations, including managing office supplies inventory and placing orders as needed.
  • Handle incoming and outgoing mail and packages.
  • Coordinate maintenance and repair of office equipment and facilities.

Health and Safety Compliance

  • Ensure the office aligns with local health and safety regulations, including conducting regular risk assessments and implementing required control measures.
  • Coordinate health and safety training for employees and ensure all safety protocols are followed.

Building Regulations Compliance

  • Ensure the office aligns with local building regulations, including acquiring necessary permits for any alterations.
  • Coordinate with external contractors and service providers to ensure compliance with building standards.

Collaborator and Government Interaction

  • Act as the main contact for senior collaborators and government officials.
  • Manage relationships with cantonal administrations and other regulatory bodies.
  • Prepare and submit required reports and documentation to government agencies.

Administrative and HR Support

  • Assist with the preparation of reports, presentations, and correspondence.
  • Support senior management with scheduling meetings and managing calendars.
  • Coordinate travel arrangements and logistics for staff and visitors.
  • Handle minor HR administrative tasks, such as maintaining employee records and assisting with onboarding processes.

About the ideal candidate?

  • Some further education or technical background would be preferred.
  • Relevant or Transferrable experience in office management or a similar role.
  • Some knowledge of Swiss health and safety regulations and building standards would be beneficial.
  • A fast learner, with a passion for excellence; a candidate who is curious, eager to grow, and demonstrates a high level of accountability and ability to make decisions
  • Excellent organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite and office management software.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficient in English and German; French or Italian is a plus.
