About the Job
 
Responsible for handling, organizing, and distributing, all project documents, including but not limited to drawings, contracts, specifications, and other correspondence related to project. Ensures that all documents are accurately recorded, sorted, filed electronically and physically(if needed), and distributed to the appropriate internal & external parties. Maintaining document control systems, tracking revisions and updates, and ensuring compliance with company, client, and industry standards. Supports Project Managers with retrieval of documentation requirements. Provide direct assistance coordinating document reviews, handling document approval processes, and providing support during audits and inspections. Overall, the document controller plays a crucial role in maintaining the integrity and organization of project documentation throughout the project life cycle.
Document controller plays a crucial role in managing and organizing documents within an organization. Their primary responsibility is to ensure that documents are properly created, reviewed, approved, and archived in accordance with organizational procedures and industry standards. Here are the key tasks and responsibilities of a Document Controller:
1. Document Creation and Formatting:
  • Create templates for various types of documents.
  • Ensure that documents adhere to the organization's formatting and styling guidelines. Inline with the client's requirement as well.
  • Verify that all necessary information is included in the documents.
2. Document Review and Approval:
  • Ensure documents are sorted correctly and distributed to relevant stakeholders for review.
  • Track and follow up on the status of document review and approval.
  • Ensure review documents are uploaded on relevant portals.
3. Document Distribution:
  • Distribute approved documents to the respective individuals or departments.
  • Ensure that the correct versions of documents are circulated.
4. Version Control:
  • Maintain a version control system for documents to track changes and updates.
  • Clearly label and document revisions to avoid confusion.
5. Document Retrieval and Archiving:
  • Establish and maintain an organized document filing and retrieval system.
  • Archive obsolete or outdated documents according to the organization's retention policies.
6. Quality Assurance:
  • Conduct regular quality checks on documents to ensure accuracy and completeness.
  • Work with relevant departments to address any discrepancies or issues.
7. Communication:
  • Facilitate communication between different departments regarding document-related matters.
  • Respond to inquiries related to document status, location, or other relevant information.
8. Continuous Improvement:
  • Find opportunities for process improvement within the document control system.
  • Implement best practices to enhance the efficiency and effectiveness of document control processes.
9. Software and Tools:
  • Apply document management software and tools to streamline processes.

What is the challenge

The primary challenge is the Project Manager's responsibility to collaborate closely with internal and external clients, as specified below, to guarantee the seamless execution of all projects within their purview. The Project Manager assumes accountability for supervising the operational aspects of the project, stepping in once the project is nearly finalized by the Sales team.

Who are you?

You are an adept and experienced Project Manager with a profound passion for orchestrating progressive infrastructure projects. Preferably with an engineering background and a demonstrated track record in leading medium to large-scale projects, you are proficient in navigating the complexities of sealing, damping, and water protection challenges, aligning seamlessly with Trelleborg Infrastructure's groundbreaking ethos.

Task and responsibilities

  • Monitor project schedule and scope to ensure both remain on track. Initiate and implement appropriate actions. Proactively engage in both quality assurance and risk management activities to ensure project results are met according to client requirements.
  • Coordinate and drive internal cross functional teams to meet program results.
  • Handle technical issues, risks, and priorities.
  • Resolve issues and solve problems throughout the project lifecycle.
  • Build project schedules to identify when each task will be done and by whom. Handle project schedules and lead enforcement of project deadlines in response to the client requirements.
  • Proactively identify resource constraints and work on creative solutions. Handle the unexpected gracefully and optimally.
  • Proactively communicate and collaborate with external and internal customers to analyze needs and requirements.
  • Ensure project documents are complete, current, and stored appropriately.
  • Serve as the conduit and act as liaison between the customers (internal and external) and technical teams.
  • Maintain key relationships with partners of project, mainly internal 70% but also external 30%. Escalation via Teamleader Project Management.
  • Collaborate with finance to initiate monthly invoicing and reconciliation.

  • Project management experience demonstrating the capacity to effectively communicate and work efficiently, collaborate with both internal and external clients across all levels of the organization.
  • Experience building and handling a project schedule in Microsoft Project or similar
  • Fluent/Confident in the Dutch and English language
  • Capacity to lead small to medium scale projects, including development of plans for scope, timeline, budget, issue management, and handling change.

In this role, you will manage and coordinate assigned customer projects as well as assist in regional developments of the aerospace market in Europe.   • Proficiency in basic Microsoft tools such as Word, PowerPoint, and Excel
  • Ability to understand and communicate basic technical concepts, to coordinate and lead personnel

  • Good knowledge of business management and marketing strategies
